Tips and Tricks for SRS Forms

THESE SUGGESTIONS ARE NOT TO REPLACE THE GUIDANCE FROM YOUR DISTRICT OR ESU.

  • These are the general guidelines for completing the SRS forms.  

  • You will need to complete the data as per your district manager and/or ESU director instructions.

  • Complete all of the required validation blocks as needed on the individual tabs.

  • Once completed by all of the staff, then you can finalize.

  • If you need to make changes after finalizing, you will need to discuss with your district manager whether or not the file can be unfinalized.

Finding student not on your student list or in your district

Once you have found your student, you can go under the student forms list.  

  • You will find all of the current forms.  

  • If they are a new student in SRS, there will not be any forms listed.

  • You can create forms as needed.  

  • You can also delete forms if they are not needed or created by accident.

  • There will be a scrolling toolbar that follows you down the page.

Validations

In the student forms list, the status numbers of the form tabs will be red if more information is needed or black if completed.

You can click on the tab number here to go directly to that page or click on the form options button.


Under the Form Options tab

  • View 

    • only see data in file

  • Edit 

    • view and add data to file

  • Suspend 

    • leaves on forms list but not active

  • Finalize 

    • all data needs to be added before finalizing

    • Once finalized, the district manager will need to be contacted to unfinalize if you need to make changes.

  • Print 

    • print current file

  • Log 

    • shows date, user and type 

    • no specific details of what changes were made

  • Print from Archive 

    • print previous file

  • Delete 

    • remove file

    • Progress reports will still show in the student forms list with deleted status as they are attached to the IEP and can not stand alone.


In View mode:

The bars at the top of the screen will be different colors.

  • In the sample below “Date” and “Date Sent” are links that will take you to the section that needs to be filled

Printing

IEPs have the most print issues.  They are the largest file in SRS.  Before finalizing, you may want to test the print option.  

  • There may be a problem with a pdf that was added to the last tab.  

  • Any pdf over 5 mb will not upload.  

  • Smaller pdfs may still break the print option if multiples are added.

  • Double-check everything you upload to SRS to make sure it opens and is visible before finalizing.


You may also want to check any fonts and attachments.  Hidden data is being added in the formatting in the copy / paste text and images from other software.  This is a problem for multiple types of software.  The best options:

  • If you want to copy and paste - paste as plain text in the SRS tinyMCE text blocks and then edit your formatting. 

  • For images - you will want to be sure you save them to your desktop.  Websites add links back to their site in images. This can cause the image to fail in the print since there is no access back to the original site. 

  • There are still some issues to work through in the SRS updates.  These are not new but there is a larger error code being displayed.  These errors will cause the form to not print and this also breaks the batch print option.

  • There are several tips and tricks to try to make these forms work.  The tinyMCE blocks have been a part of SRS since it began in the early days.  The recent google docs do not work the same.  There are Knowledge base articles to help with navigating and completing the forms.  

Text

  • The best option is to fill in the tinyMCE text blocks in the forms.  Using the formatting tools in the blocks will print as you see the data on your screen.

  • You should be able to copy and paste the text.  The formatting should remain.  

Images 

  • Screenshots may not be named to work with the software settings.  This can break the image.  The 400 error on the Mac is an example.

  • Previously added images should be in the forms.  If they are broken, you may need to rename and re-add them before you can print.

  • New images should be able to be inserted by drag and drop.  If the image is on your desktop, you can click and drag it to the page and drop.

  • New images should be added with the insert button.  The insert from a file should also be working.

Tables

  • There is a Knowledge base article linked here with ideas for adding a table.

  • There is also a Knowledge base article linked here for adding the link to the tables.  The line settings have to be added through the tools in the tinyMCE block for them to display even if you copy and paste the table. 


We are looking at some ideas for editing the pdf but for now this is the only fix.
